Follow these steps in order. Skipping any one of them is the most common cause of blurry, cut-off, or black-and-white prints.

Download the Print Pack and open the PDF

Click Download Now in the editor and select Print Pack. Choose PDF as your format — it preserves the exact dimensions and 300 DPI resolution. Open the downloaded PDF in your PDF viewer (Adobe Reader, Mac Preview, or Chrome's built-in viewer) rather than printing directly from a browser.

💡 Why PDF and not PNG/JPG?

Printing directly from a browser can silently scale, crop, or compress the image. A PDF locks the exact dimensions and resolution — Adobe Reader and Preview always send the file to your printer at full 300 DPI fidelity.

Set orientation to Landscape

Certificates are wider than they are tall — like a traditional diploma. Your printer defaults to Portrait (tall), so switch it to Landscape before printing.

Enable full color printing

Many printers default to Grayscale or Black & White to save ink. Gold borders, colored backgrounds, and vibrant designs will not print correctly unless you explicitly enable color.

  3. Set to Color (not Grayscale)

Set scale to "Fit to Page"

Set the page scaling so the certificate fills the entire sheet edge-to-edge, with no white margins cutting off the border.

  3. Avoid "Actual size" — it may clip the edges

📄 Which file format should you use?

Use the PDF from the Print Pack whenever possible. The 300 DPI PNG/JPG are also suitable for professional print shops, but the PDF is the safest choice for home printing.

📋 Paper size, weight & type

Certificates are designed for 8.5 × 11 inch (US Letter) or A4 paper, printed in landscape orientation. The paper you choose affects the final look as much as your printer settings.

Set orientation to Landscape so the paper is 11 wide × 8.5 tall. Both US Letter and A4 work — A4 is very slightly narrower but certificates print well on both.

Paper finish guide

Matte, linen, or parchment — traditional, premium, diploma feel; no glare; easy to sign.
Semi-gloss or photo — more vibrant colors, good for color-heavy designs.
High-gloss — avoid; creates harsh glare and makes text and signatures hard to read.

💡 Using pre-textured or parchment paper:

If your certificate template has a plain or white background, specialty parchment paper adds a beautiful traditional look.
If your template already has a textured background design, print on smooth white or off-white cardstock — overlapping two textures (design + paper) can look busy and unprofessional.
Parchment and diploma specialty papers are available at Staples, Office Depot, Amazon, and art supply stores. Check your printer's maximum gsm before using heavy cardstock.

Quick, convenient, and free if you have a color printer. Use the Print Pack PDF, set Landscape + Color + Fit to Page. Best for small quantities or casual use. For the most vibrant result, use glossy photo paper.

Staples, FedEx Office, Office Depot, UPS Store, and local copy shops all accept PDF or PNG files. They use commercial-grade printers with consistent color calibration. Ideal for large runs, awards, or formal presentations.

🎨 Color & print quality

Screen colors and printed colors are produced differently — understanding this helps you get the best result.

Screen (RGB) vs. Printer (CMYK)

Monitors emit light (RGB) which can produce very vivid, saturated colors. Printers use ink (CMYK) which is naturally less vibrant. This is normal — printed certificates will look slightly less bright than on screen, especially on a budget home printer.

300 DPI — professional quality

Print Pack files are 300 DPI, which is the industry standard for professional print. This means text and graphics will be sharp and crisp at full 8.5 × 11 size. Most professional print shops consider 300 DPI to be fully print-ready.

Why gold doesn't print as metallic gold

Gold-colored certificate designs use a warm golden-yellow color (digital). Home and office printers cannot reproduce metallic finishes — they use CMYK ink, so gold prints as a rich warm yellow. Metallic foil effects require specialist printing equipment.

💡 For the most accurate colors:

Use a calibrated inkjet or laser printer with genuine ink cartridges. On glossy or semi-gloss paper, colors are noticeably more vibrant than on standard office paper. Professional print shops (Staples, FedEx Office, etc.) use color-calibrated equipment and typically produce better results than home printers.

🔧 Common printing problems & fixes

These are the most common issues — most are a single setting change to fix.

Certificate looks blurry or pixelated when printed

You are using the Web Pack file (PNG at 72 DPI), which is designed for screens and social sharing — not printing. Download the Print Pack instead (PDF / PNG / JPG at 300 DPI). Also ensure you are printing the PDF from a PDF viewer, not from a browser.

Gold / colored border printing in black & white or grey

Your printer's color mode is set to Grayscale or Black & White. Follow Step 3 above to enable full color printing. Also check that your color ink cartridges are not empty or low.

Certificate prints with large white margins / doesn't fill the page

Two possible causes: (1) orientation is set to Portrait instead of Landscape — switch to Landscape; (2) scale is set to "Actual size" — change to "Fit to Page" or "Fill".

Border is cut off on one or more sides

Most home and office printers have a non-printable margin of approximately 3–6mm around the edge of the paper — they physically cannot print right to the edge. If the certificate border is very close to the edge of the design, it may be partially clipped. Solutions: (1) use a professional print shop with borderless or near-borderless capability; (2) disable borderless printing mode in your printer settings; (3) scale slightly to 95–98% to pull the border inside the printable area.

Certificate printing too small

The scale setting is wrong. Set it to Fit to Page or Fill in the print dialog. If you are in Adobe Reader, go to File → Print → Page Scaling → Fit. Avoid "Actual size" unless you have verified the dimensions match your paper size exactly.

Colors look dull or washed out compared to the screen

This is normal — screens emit light (RGB) and are inherently brighter than ink on paper (CMYK). For the most vibrant result: use glossy or semi-gloss photo paper (120–160 gsm), ensure color mode is set to Color (not Grayscale), and try a professional print shop which uses commercial-grade, color-calibrated printers.

Text looks different / font changed when printed

If you are printing the PDF, fonts are embedded and will always print correctly. If you are printing from a browser or image viewer and see font changes, switch to the PDF file. Never copy-paste text out of the certificate file for printing — always use the downloaded PDF or image file as-is.

Printer is adding extra margins I did not set

Your printer has a default minimum non-printable margin that cannot be overridden — this is a hardware limitation. To minimize margins: (1) set scale to Fit to Page; (2) if your printer has a borderless mode and supports your paper size, enable it (but test first — borderless mode sometimes scales the image slightly); (3) use a print shop if exact edge-to-edge printing is essential.

Print quality

The Print Pack files are 300 DPI (dots per inch) — the industry standard for professional print quality. At 300 DPI, text and graphics will be sharp and crisp at full 8.5 × 11 inch size. The Web Pack is 72 DPI, which is designed for screens and online sharing only.

Almost always this means you are using the Web Pack PNG (72 DPI) instead of the Print Pack. 72 DPI is designed for screens — it looks sharp on a monitor but blurry when printed on paper. Download the Print Pack and use the PDF or 300 DPI PNG instead. If you are already using the Print Pack, make sure you are printing from a PDF viewer and not directly from a browser.

This is a fundamental difference between screens and printers. Monitors emit light (RGB) which is inherently brighter and more vivid. Paper & size

For the most vibrant, professional result: glossy or semi-gloss photo paper (120–160 gsm). For a formal look without shine: matte cardstock (200–300 gsm). Standard 80 gsm office paper works fine for everyday use but produces slightly duller colors. Specialty certificate or parchment paper is also a great choice for formal awards — available at Staples, Office Depot, and Amazon.

Certificates are designed for 8.5 × 11 inch (US Letter) paper in landscape orientation — so the paper is 11 inches wide and 8.5 inches tall. Printer settings

Use "Fit to Page" (also labelled "Fill", "Shrink to fit", or "Scale to fit" depending on your PDF viewer). "Actual size" prints at 100% of the file's dimensions and may clip the certificate edges if the file is sized to the full page. "Fit to Page" ensures the whole certificate is visible and scaled to fill the paper.

Border cut off: Most home and office printers have a non-printable margin of 3–6mm around the edge. If the certificate border extends very close to the edge of the design, the printer physically cannot print it. Solutions: (1) use a professional print shop with near-borderless capability; (2) scale the certificate to 95–98% to pull the border inside the printable area.

White margins too large: Either orientation is set to Portrait (change to Landscape) or scale is set to "Actual size" (change to "Fit to Page").

Generally no — leave borderless printing off. Borderless mode on most home printers slightly scales or crops the image to fill the sheet edge-to-edge, which can cut off the certificate border. Certificates look best with a small natural margin of white around the edge. If the border is being cut off, the fix is to scale down slightly (95–98%), not to enable borderless mode.

Using a professional print shop

Tell them: "I have a PDF certificate — please print it in full color, on landscape 8.5 × 11 (or A4), at full size / fit to page. Please do not scale or crop. I'd prefer glossy or semi-gloss photo paper (120–160 gsm) if available." You can email the PDF directly, or bring it on a USB drive. Ask them to show you a proof print before doing a large run.

Either works. Most print shops accept files by email or through an online upload portal (Staples and FedEx Office both have online order forms). You can also bring the file on a USB drive. Make sure the PDF file size is within any email attachment limit (most Print Pack PDFs are well under 10 MB).

Home printer setup

Set print quality to Best or High Quality — never Draft or Economy. In your print menu, select the paper type that matches what you're printing on: Cardstock or Heavyweight Paper if using thick stock, or Photo Paper if using glossy/semi-gloss. For scale, use Actual Size (100%) if your paper matches the document size (8.5 × 11 landscape) — this preserves exact dimensions. Use Fit to Page as a fallback if you're unsure.

Photo labs (CVS, Walgreens, Costco photo center) work best for JPEGs printed on photographic paper — they produce vibrant, glossy prints. However, for formal certificates, an office print shop (Staples, FedEx Office) using cardstock is recommended over a photo lab, because they support landscape 8.5 × 11 on cardstock or specialty paper, which gives a more professional diploma-style result. Photo lab paper is thin and glossy, which can feel less formal.

Matte, linen, or parchment gives a traditional, premium diploma feel with no glare — and it's easy to sign. Semi-gloss or photo paper makes colors more vibrant and is a great choice for color-heavy designs. Avoid high-gloss — it creates harsh glare under light, which makes signatures and text harder to read. For formal awards and certificates, matte cardstock or parchment paper is generally the most professional choice.

Yes — and it's a great way to add a personal, official touch. Let the ink dry for a few seconds before handling to avoid smudging. Matte or parchment paper accepts pen ink more cleanly than high-gloss paper.
